Visitor Management System Enhances Security, Safety, and Efficiency
Installing a visitor management system is an excellent way to add to the security, saftety, and efficiency of your facility. Identifying all individuals who enter and leave the building, and at what times they enter and leave, serves as a deterrent against activities such as theft, industrial espionage, social engineering, solicitation, and more. In terms of efficiency, an electronic visitor management system allows you to do away with cumbersome paper log books, which may contain inaccuracies and are often vulnerable to snooping by vendors who might want to see if any of their competitors have visited the facility recently.
In a typical setting where a visitor management system is employed, a visitor will enter the building and be greeted by a receptionist or security personnel, who will then scan the visitor's driver's license. At the very least, the person's name is captured and stored in a database of visitors. The time and date are also logged automatically. In addition, the receptionist can inquire as to the purpose of the visit and may record that information as well. Visitor badges will be scanned upon arrival and departure so that you will always know who was in the building and for how long.
There are multiple options for badges or tags that guests can carry with them for the duration of their visit. You can print their infomation on an adhesive label or a plastic card. Alternatively, you can electronically associate the visitor with a pre-printed badge. This is desirable in situations where you may want to have different sets of badges for different types of visitors, depending on their roles. If, for example, your building has areas that are access-restricted, you might want to make sure that the visitor badges do not allow entry into those areas. A visitor management system is normally an integral part of a broader security and access control system.
The equipment to accomplish the above consists of an area-imaging scanner (also called a 2-D scanner or PDF417 scanner) equipped with software that can capture data from a driver's license. We recommend Honeywell's Xenon 1900 (or Xenon 1902) scanner and EasyDL software, as they were made to work hand-in-hand. The only additional pieces of equipment required are a computer and printer. Note that a special card printer, such as the Zebra P110i, will be necessary if you want to print visitor badges on cards as opposed to paper adhesive labels.
